1. Minutes of meeting held on Monday 16th July 2018
The Minutes were approved as a correct record.
2. Matters Arising From Minutes
Parking – The Chairman had received the following information from the City Council: The multi-storey car park at the top of Ermington Terrace had been modernised and the parking meter will now accept credit/debit cards or cash payment. The charge to park all day is £5. Parking restrictions in the area around the Bridge Club will not be altered in the foreseeable future. A decision has not yet been made regarding a disabled parking space Moor View Terrace.
Evening Bridge – The intention of hosting Wednesday night Bridge has been trialled, but it is unlikely to continue as people are not willing to volunteer.
3. Treasurers Report
Charles presented the Profit and Loss Account as at the 30th July 2018 and answered all questions.
Although membership numbers were down on last year, profit was slightly up.
Charles was thanked for producing the accounts.
4. Building, Maintenance and Improvements
Carpet – Two carpet samples had been obtained, one from Devonport Carpets and the other from an internet company. After consultation with members, Devonport Carpets has been given the order. The cost of the carpet, underlay and nosings will be £1160 and fitting £490. The floor outside the committee room is uneven as the underlay had been glued to the floorboards; this will be rectified before the new carpet is laid. The first floor landing and toilets will be out of use on Friday 31st August. All people using the building will be informed.
Ladies Toilet – The leak on the downstairs toilet has been repaired.
Cupboard in Bridge Room – The new cupboard, with a lockable door, will be used to house the folders from the tea room.
Fire Alarm – A price to be obtained to move the Fire Alarm control box lower. A rota of people willing to be responsible for the weekly check to be displayed on the noticeboard.
Bridge Room – No decision about decoration to be made until a price for improving the lighting had been received. A discussion took place on how to make the room brighter and it was suggested the Honour Boards be moved. This was dismissed as being disrespectful to past and present members.
Front Door – Volunteers needed to clean and paint the door.
Tablecloths – Gloria Sommer had commented on the poor state of the tablecloths. All tablecloths have now been cleaned.
5. Competitions Committee Report
The Summer Cup and Tudor Summer Cup competitions will draw to a close at the end of the month with latest positions available on the web site.
On 17th September we will have a Devon Air Ambulance SIM pairs with another play day, for the Northcott Cup, planned for 6th October.
The Winter Cup and the Tudor Winter Cup will start in September.
6. Membership Secretary Report
We now have 135 members. Reminders have been issued to the 10 members from 2017 that had not renewed within the timescale (end of July).
Two new members – Marie Docker and Alex Lehmann – were approved by the Committee.
All personal record of previous members will be deleted from the Pianola database.
7. Any other business
Bridge Lessons – 15 people are expected to attend lessons in September.
City College had been approached, but were not able to advertise Bridge lessons. However, it would be acceptable to put it on their website. Pete Tunnicliffe
Plymouth University to be asked whether we could advertise at Freshers Week.
Christmas Party – A cheese and wine Christmas Party will be held on Saturday 15th December.
Margaret Wootton and Allan Simpson had volunteered to help and Suzanne Cornish will be responsible for decorations.
Contracts with the EBU - The EBU wrote to all clubs about contracts for data controllers and data processors and now agree that clubs do not have to have signed contracts as long as they follow the law and regulations surrounding data protection. To accommodate this, the EBU has updated the Club Terms of Affiliation which includes a simple data protection agreement. Next year they will ask all clubs to acknowledge this as part of the annual return sent to all affiliated clubs. This was noted and accepted by the Committee.
8. Date of Next Meeting
The next meeting will be held on the24th September at 5 p.m.
